Pricing & Guest Minimums
Coastal Market Catering may set a minimum guest count for certain menus or events. These minimums, along with pricing, menu selections, and additional services or products, are subject to change at any time without prior notice, depending on availability, staffing, and other operational factors. Updates to these elements may not immediately be reflected on our website or printed materials. Final details, including menu choices, pricing, and guest minimums, will be confirmed during your event consultation with a member of our team.
Booking & Payment Terms
To confirm a private or corporate event, a deposit equal to 25% of the estimated total cost is required at booking (unless otherwise agreed in advance). The remaining balance is due fourteen (14) days before the event unless different payment terms have been pre-approved in writing. Corporate clients may request terms allowing payment at the event or within 14 days afterward.
We accept the following payment methods: cash, check, Visa, MasterCard, Discover, and American Express. Additional charges may apply for extended event durations, extra staff, or requested services. A signed contract is required to secure your event.
Changes & Final Guest Count
Clients may request changes to their agreement up to ten (10) days before the event. Final guest count for private events must be submitted ten (10) days in advance. Corporate clients have until seven (7) days before their event to provide this number. This confirmed number becomes the minimum guarantee and cannot be decreased after that point. Increases will be accepted up to seven (7) days before the event date.
Credit Card Fees
A 3.5% processing fee applies to all credit card payments (Visa, MasterCard, Discover, and American Express). This fee reflects our actual processing costs and complies with applicable regulations.
Pricing Policies
Once a contract is signed and the deposit is paid, your pricing is locked for the current calendar year. If your event is scheduled for the following year, prices may increase by up to 10% to reflect rising costs of goods such as meat, poultry, or fuel. Clients will be notified by email at least 90 days in advance if this applies and may choose to cancel the contract for a full refund of any payments made.
All pricing is subject to a 7% Florida state sales tax unless your organization is tax-exempt (documentation required). A 20% administrative fee applies to all events. For a breakdown of this fee, please refer to our management.

Cancellation Policy
Cancellations made within 30 days of the original booking will receive a refund minus a 25% administrative fee. Cancellations after 30 days are non-refundable. If the booking is made less than 30 days before the event, the deposit is also non-refundable. Events canceled within 7 days of the scheduled date require full payment of the event balance.
Catering Service Terms
Our ability to perform under this agreement may be impacted by external circumstances such as labor disputes, supply chain issues, or other unforeseen conditions. If we are unable to fulfill the contract due to such issues, liability is limited to the return of the initial deposit. We are not responsible for any personal property damage or loss at the event venue. Clients are liable for any property damage, theft, or losses at the venue.
Food & Beverage Details
At the event, any additional attendees beyond the guaranteed number will be charged accordingly. Special dietary meals must be arranged in advance and will be served only to those identified with a designated meal ticket. If attendance exceeds the guarantee, substitute meals may be served.
When suitable on-site refrigeration is available, leftover food may be left with the client. The client then assumes full responsibility for safe storage and food handling.

Liability Waiver
Coastal Market Catering reserves the right to oversee all events. Clients agree to release us from any liability related to injury, illness, damage, or loss stemming from food, services, or third-party rentals not supplied directly by Coastal Market Catering.

Yes, complimentary tastings are available for events with a projected minimum of $3,500. For events under that amount, we’re happy to provide references or direct you to our client reviews online. We're proud of our reputation and want you to feel confident in your decision.
Choosing a caterer is an important step, and we want you to be comfortable with both our food and our service. At your tasting, you’ll meet with our Chef, our Catering Director, who can answer your questions and help you tailor your menu to your venue and vision. We’re confident you’ll leave the tasting excited and assured in your choice.
Tastings are scheduled. We’ll work with your availability to set up a time that works best.
Once buffet service concludes, we’re happy to package any leftover cooked food at your request. Please keep in mind: after our team leaves the venue, Coastal Market Catering cannot be held responsible for the safety of food that is stored or consumed later.
By signing our agreement or confirming via email, you accept responsibility for proper food handling after the event has ended.
Of course! If you or someone close to you has a special dish you'd like to serve, you're welcome to include it. You’ll be responsible for bringing, storing, and setting it up safely. Please let us know in advance if there are any dietary requests or allergies we should accommodate—we're happy to help.
We include a 20% administrative fee on all events. This fee supports a variety of behind-the-scenes efforts—from food prep and equipment upkeep to delivery logistics, insurance, and consultation time. It allows us to give you the dedicated service and attention your event deserves.
No, the administrative fee does not serve as a tip and is not distributed among our on-site staff. While gratuity is never required, it is often appreciated as a thank-you for exceptional service. If you’d like to discuss gratuity, your Catering Coordinator can provide guidance.
